Privacy Policy

This policy explains what data we collect, why we collect it, how we use it, and what rights you have. It applies to the Art/In Forum website and all Forum-related activities.
The Art/In Forum is a project of the Laboratory for Artistic Intelligence (“the Lab”). When we say “we” or “us” in this policy, we mean the Lab and the Forum team.
Questions or requests about your data can be sent to us at any time.
1. Data Practices
Account & Membership Data
When you join the Forum, we collect:
- Your name and email address (to create and manage your account)
- Your location (to apply appropriate pricing and, where required, calculate applicable taxes)
- Payment information (handled by Stripe; we don’t store your credit card details)
- Any additional information you provide during registration, such as your profile image, areas of work, or professional projects.
We don’t sell your data.
Directory Data
As a member, you are automatically listed in the Membership Directory. Your name and profile information becomes publicly visible from the Directory page. You choose what to include, and you can update your Profile at any time in the Account pages.
Membership, Event & Workshop Data
When you become a member, and/or register for Forum events, workshops, or residencies, we collect the information needed to manage your participation — typically your name, email, and any program-specific details (such as dietary requirements for in-person gatherings or accessibility needs). We may also use the data to help us develop and promote future programming.
Content You Create
If you publish blog posts, comments, events, or other content on the Forum, that content is stored on our platform. You retain ownership of your Intellectual Property (see our Terms of Service for details).
Newsletter Subscribers
If you subscribe to Art/In Digest without a paid membership, we collect your email address, name, city, and country. This is managed through Kit (formerly ConvertKit).
Account Updates & Deletion
You can update your profile and account information anytime through your Account. If you need anything else, e.g. full account deletion, contact us and we’ll respond within 30 days.
Data Security
We take measures to protect your data, including encrypted connections (HTTPS), secure payment processing through Stripe, and restricted access to personal information within our team.
In the unlikely event that a data breach occurs, affected members will be notified promptly.
2. Third-Party Services
We use some third-party tools and services to run and promote the Forum, including GreenGeeks (hosting), WordPress (CMS), Stripe (payments), Kit (email), Google Analytics (site usage), Google reCAPTCHA (spam protection), Meta (ads), Whereby and Zoom (virtual events), and Google Workspace (internal administration). Individual events may use additional tools for accessibility or documentation purposes, such as transcription or captioning services. These third-party tools and services are governed by their own data privacy and security practices, as well as applicable laws in their jurisdiction. Some of these services store data on servers located in the United States.
3. Cookies & Tracking
The Forum website uses cookies for essential functions (login sessions, payment processing, spam protection) and site data (Google Analytics). E-newsletter and other communications sent through Kit measure open rates and engagement.
You can opt out of Google Analytics by installing the Google Analytics opt-out browser add-on, and you can unsubscribe from ART/IN Forum emails anytime.
4. Research Data
When Forum members participate in knowledge exchange and research activities (interviews, surveys, collaborations, residencies, generative workshops), those activities are governed by project-specific data policies communicated at the time of participation.
Generally speaking:
- Participation is up to you; you choose when and how you participate.
- Standard research ethics apply.
5. When We Share Information
We share personal information only:
- With the third-party services listed in section 2, in order to operate the Forum;
- With our service providers (such as financial auditors or legal advisors), in confidence;
- When required by law or to protect safety;
- With your explicit consent.
Aggregated or de-identified data may be used for reporting (e.g. for grants) or community insights.
6. Data Retention
- Active members: We retain your data for as long as your membership is active.
- After cancellation: Your account data is retained for up to 24 months after cancellation in case you return, then deleted. Content you’ve published on the Forum (blog posts, etc.) will remain unless you ask us to remove it.
- Event participants: Registration data is retained for up to 24 months for administrative purposes (e.g., issuing tax receipts, tracking continuing participation).
If you’d like your data deleted sooner, please contact us and we’ll respond within 30 days.
7. Changes to This Policy
We may update this policy to reflect changes in our practices, tools, or legal requirements. We’ll post the updated version with a new date at the top of this page. For significant changes, we’ll notify members directly.
